Privacy Policy

EasyBooks ("EasyBooks," "we," "us") is an online cash book service operated by Better Business Services. This policy explains what information we collect, how we use it, and the choices you have. The short version: your books are yours. We don't sell your data, we don't show ads, and we only collect what we need to run the service you're paying for.

Information we collect

• Account information. Your name, email address, and a hashed password. If you enable two-factor authentication, we store an encrypted authenticator secret and encrypted recovery codes.
• Your business records. The financial data you enter or import: companies, bank account names and balances, transactions, invoices, customers, bills, vendors, tax rates, loans, and assets. We store the last four digits of bank accounts only if you choose to enter them — never full account numbers, routing numbers, or online banking credentials.
• Billing information. Subscription payments are processed by Stripe. Your card number never touches our servers; we keep only a Stripe customer reference, your subscription status, and your card's brand and last four digits as provided by Stripe.
• Usage and log data. Standard server logs (IP address, browser type, pages requested, timestamps) kept for security and troubleshooting.

How we use your information

• To provide the service: storing your books, generating reports and PDFs, and processing your subscription.
• To secure your account: authenticating you, enforcing two-factor authentication, and detecting abuse.
• To communicate with you: password resets, billing receipts, and important service announcements.
• To support you: our support staff can access your account data only when needed to resolve an issue you raise, and support access is logged.

We do not sell or rent your personal or financial information, use your books for advertising, or share your data with third parties except as described below.

Who we share data with

• Stripe — payment processing (privacy policy).
• DigitalOcean — cloud hosting for our servers and database (privacy policy).
• Our transactional email provider — delivery of transactional email such as password resets.
• Law enforcement — only if legally required by a valid subpoena, court order, or similar process, and we will notify you unless prohibited.

If you later connect a bank feed (e.g. via Plaid), that connection will be governed by the provider's own privacy policy presented at the time you connect.

Security

• All traffic is encrypted in transit with TLS (HTTPS).
• Passwords are stored using one-way bcrypt hashing; two-factor secrets and recovery codes are stored encrypted.
• Optional authenticator-app two-factor authentication on every account.
• Access to production systems is restricted to authorized personnel.

No system is perfectly secure. If we learn of a breach affecting your data, we will notify you promptly as required by applicable law.

Cookies

We use only the cookies required to run the application: a session cookie to keep you signed in and a CSRF token to protect forms. We do not use advertising or cross-site tracking cookies.

Data retention, export, and deletion

• Your books are retained for as long as your account exists — unlimited years of history is part of the product.
• If your subscription lapses, your data is retained so you can pick up where you left off; it is not deleted for non-payment without notice.
• You can export your reports to PDF and Excel at any time.
• To delete your account and all associated data permanently, contact us at info@bbstax.com. Deletion is completed within 30 days, except minimal billing records we must keep for tax and legal compliance.

Your rights

You may access and correct your account information at any time from within the app. Depending on where you live (for example, California's CCPA), you may have additional rights to request a copy of your personal information or its deletion. Contact us at info@bbstax.com and we will honor verified requests within the timeframes required by law.

Children

EasyBooks is a business tool and is not directed at children under 13. We do not knowingly collect information from children.

Changes to this policy

If we make material changes, we will notify you by email or an in-app notice before the changes take effect. The "Last updated" date at the top reflects the current version.
