Terms of Service

These Terms of Service ("Terms") are an agreement between you and Better Business Services ("EasyBooks," "we," "us") governing your use of the EasyBooks online cash book service. By creating an account or using the service, you agree to these Terms.

1. The service

EasyBooks is bookkeeping software: a cash book for recording receipts and payments, with bank reconciliation, reports, invoicing, accounts payable, sales tax tracking, loan amortization, and asset depreciation. We provide the software; you provide and are responsible for the data you put in it.

2. Not accounting, tax, or legal advice

EasyBooks is a tool, not an accountant. Calculations such as profit & loss, sales tax, amortization, and depreciation are performed using standard formulas applied to the data and rates you enter. We do not determine which tax rates apply to you, prepare or file tax returns, or provide accounting, tax, or legal advice. You are responsible for the accuracy and completeness of your books and for verifying them with a qualified professional. Features like "Ask My Accountant" exist precisely so your accountant can review your records.

3. Your account

• You must provide accurate information and be at least 18 years old.
• You are responsible for safeguarding your password, and we strongly recommend enabling two-factor authentication.
• Each subscription is for a single user. You may manage multiple companies under one account.
• You are responsible for all activity under your account.

4. Subscriptions and billing

• EasyBooks costs $19.95 per month or $199 per year, billed through Stripe.
• Your first month is free. No card is required to start; you'll be asked to subscribe before the free month ends to keep using the service.
• Subscriptions renew automatically until cancelled. You can cancel any time from the billing portal; cancellation takes effect at the end of the current billing period.
• Except where required by law, payments are non-refundable, including for partial billing periods.
• We may change pricing with at least 30 days' notice; changes apply at your next renewal.
• If your subscription lapses, access to the app is suspended but your data is retained (see the Privacy Policy).

5. Your data

• You own your books. We claim no ownership of the data you enter.
• You grant us a limited license to host, process, and back up your data solely to provide the service.
• You can export your reports at any time, and you may request full account deletion as described in the Privacy Policy.
• You are responsible for maintaining your own copies of records you are legally required to keep.

6. Acceptable use

You agree not to: use the service for unlawful purposes; attempt to access other users' data; probe, scan, or test the vulnerability of the service without written permission; resell or sublicense the service; interfere with its operation; or upload malicious code. We may suspend accounts that violate these rules.

7. Availability and support

We aim for high availability but do not guarantee the service will be uninterrupted or error-free. We may modify features over time. Maintenance windows and incidents happen; we'll communicate material ones. Support is provided by email at info@bbstax.com.

8. Disclaimer of warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT CALCULATIONS OR REPORTS WILL MEET YOUR TAX, ACCOUNTING, OR REGULATORY REQUIREMENTS.

9. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, EASYBOOKS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, LOST DATA, TAX PENALTIES, OR INTEREST ASSESSMENTS, ARISING FROM YOUR USE OF THE SERVICE. OUR TOTAL LIABILITY FOR ANY CLAIM IS LIMITED TO THE AMOUNT YOU PAID US IN THE TWELVE MONTHS BEFORE THE CLAIM AROSE. Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you.

10. Termination

You may stop using the service and cancel at any time. We may suspend or terminate accounts that violate these Terms, with notice where practicable. Sections 2, 5, 8, 9, and 11 survive termination.

11. Governing law and disputes

These Terms are governed by the laws of the State of Texas, without regard to conflict-of-law rules. Disputes will be resolved in the state or federal courts located in Bexar County, Texas, and both parties consent to their jurisdiction.

12. Changes to these Terms

We may update these Terms from time to time. For material changes we will give you at least 14 days' notice by email or in-app notice. Continued use after the effective date constitutes acceptance.
